Hi LZ, I have translated your article, and there are several questions during below, I hv highlighted in green, Pls help me out. Thanks in advance.


Merchandiser Work Flow Chart跟单工作流程
【I am a little confused about the title and the content of your article. In my opinion, Merchandiser mean salesman, but cooperator mean customer support, they are different concept. Although many times people call a man merchandiser who follows up orders.  If I am wrong, pls point it out. Thanks】

Step 1:received parcel from buyer
第一步:收到客人的包裹。
including original sample, sampling, pattern, technical pack ( technical pack always including styles, specification, comments, making details, label details,) G$accessories, fabric labdip,also including required sending date and quantity.)
包裹里一般有原样板、纸样、工艺指示单(一般情况下,工艺指示单里有款式、款式描述表、评语、备注、详细的唛头资料、辅料、色样、数量及交期)。
【What is your mean of "sampling" here? Is there any different with original sample?】

A)You need to check all of information is it clear, if anything confused and will affect sample making, please don't hesitate to contact buyer and required clarify by return
理清有关所有客人要求信息,任何不清楚的信息都应毫无犹豫地和客人确认,因为每一点不清楚都会影响到样板的制作。

B)if this is FOB order ,please immediately to contact fabric mill and confirmed whether they can supplied what buyer required .by the way, please don't forget keep buyers post .  
if this is CMT order ,buyer will send you sampling  ,you only need to ask for buyer tries to send as earlier as possible.
如果订单是在FOB的条款下进行,应立即和面料供应商联系并确认其是否能(安时、安质、安量)地达到客人的要求。同时,也应通知客人这方面的信息。
如果是来料加工订单,客人会寄样品给你,你只需要问客人索要生产所需要的物料、资料及尽快交货即可。
【注:LZ在此所说的FOB应该意指包工包料(contract for labor and materials)的意思吧?】

Step 2: please gather up all of information and then issued Sample Order
第二步: 收集整理好所有信息,开始下板单进行做板。

Step 3: please keep your smart eyes on the whole process of sample making
第三步:紧密跟踪样品的加工过程。

A)Pattern maker, sometimes, will advise you that some measurements are not consistence ,then you'd better to study all of information again to check whether something wrong from you, if not ,please required buyer check again and confirm by return.
有时,在样品加工的纸样环节,纸样师会告诉你所提供有尺寸表不具操作性(consistency), 遇到这种情况,我们首先要做的就是先全面的核对一下所有资料,是否我们自己(在整理、翻译的过程中)出错了,诺无,则需要与客人沟通并要求其复核及确认。

B) Sometimes, there’re some difficult workmanship can’t to be met; you also need confirmed with buyer how to improved them.
有时会有一些很难操作的工艺资料,这也要我们去和客人沟通并寻找出改善方案。

C)Sometimes, correct fabric and accessories can’t received on time, and in order to save time ,please confirm with buyer whether could be used substitution to make sample ,do normally ,they can accept used substitute fabric and accessories on first sample, as the first sample just only for fit.
很多时候,面料及辅料不能按时收到,为了节省时间,我们需要与客人沟通,看能否代用;正常情况下,客人是会接受的,因为头板主要是用来看尺寸的(试穿)。

Step 4: please send sample for (buyer) approval once ready.
please remarked substitute articles and if some measurements can’t keep specification please also reminded on swing tag so that buyer will pay more attention to them, and will give us comments, then the next sample can be completely amended. This can help us to reduce unnecessary making times, and won more time to production.
第四步:样品完工后,及时寄给客人批准。
寄样给客人时,代用的物料、不附的尺寸应在挂卡上注明,以便客人注意问题及给出注释,这样在二次样品中才能完全改善。这样可以减少不必要的时间投入,节省更多的时间。


Step 5: buyer will advise their approval comments
第五步:客人给出评语。
A)do normally, buyer will advise their fit/approval comments within 48 hours after received sample ,if not ,please chase them .
正常情况下,客人会在收到样品后的48小时内给出评语, 如果48小时后还没有收到相关的评语,应追客人要评语。

B)if fitting not approved ,they will advise you improved comments ,then you need repeat from
Step 1.
如果尺寸(穿着舒适度不够)没有批准,客人会给出修改评语,此时我们需要从第一步开始了。

C)if you submit the substitute fabric sample for approval, normally, buyer will required you re-submit another sample in correct fabric and accessories .
如果头板的布料是代用的,一般情况下,客人会要求提供一次物料完全正确的样品。

D)if approved to proceed production, please continue next step
如果已经批准生产,那么,我们继续下面的步骤。

Step 6: please translate comments from English into Chinese, then issued Official Production Order
purchase NO, quantity, delivery date & mode, fabric composition, accessories etc. should be showed on the official production order. please confirmed all of the information on the OPO are correct before issued, as any items are unclear or wrong will effect on production, and you must take responsibility.
第六步:翻译客人的评语,发大货生产单(到车间)。
采购号、数量、交期、款式、布料成分、辅料等等都是生产单内所需要罗列的内容。在发放大货生产单(到车间)之前一定要确定所有信息都是正确的,任何的错误都会影响到大货的生产,我们都要为此负责。


Step 7: please keep your smart eyes on the whole process of production;
第七步:紧盯生产进程。
normally, we need inspection of fabric and accessories before production, and if found some defects will affect garment appearance or quality, should be immediately to inform buyer, meanwhile we also could suggested them how to improve it .then waiting buyer confirmation
on the other hand, factory has to avoid limited sew lines or short worker, and then didn’t catch required delivery date, you need informed buyer ASAP.
During production, will also have some working or measurement questions, the principle are stick to approved sample.
一般情况下,在生产前,我们要查布料及辅料,如果发现有次品会影响到产品质量,应立刻通知客人,同时也要提供客人解决的方法供客人参考,然后等待客人的评语。
另外,工厂应避免因机车及工人不足而赶不上将其的情况,诺赶不上货期,要第一时间通知客人。
在生产中,常会遇到一些车工及尺寸的问题,处理这些问题时,应以批准样为中心。


Please calculate how many units can be cut according to received fabrics and then confirm with buyer if cannot to keep order quantity before cut .
在开裁前,应计算所收到的布能裁出多少件成品,诺与客人要求的数量相差太大,一定要在开裁前与客人确认。

Step 8: please sending shipment sample for buyer approval
第八步:寄船样给客人批。
Buyer always required submit shipment sample for approval before shipped .different sample quantities are required by different buyer .but they always have the same required that the shipment must be from bulk.
客人基本上都会要求我们发货前寄船头样。不同的客人对质量有不同的要求,但是他们都会有一个相同的要求就是船头样一定来自大货。

If this buyer has hired local QC, they will arrange their QC to inspection at your factory before shipped. Some buyer need in-line and final inspection .but some buyer only need final inspection.
如果客人在当地有QC,那么在发货前他们会安排QC到工厂查货。一些客人会要求QC在生产过程中也要查货,但有些客人只在货品完工后查货。
Please confirmed with QC when he/she will coming. then you need prepared below files
1.PO Copy
2.Keep Sample of PP sample for Production
3.Latest approved size chart and spec
4.Final Packing Instruction
5.Approved Printing,Embroidery Positions
6.Packing List
QC来之前,应准备下列资料,以便与其核对:
1、        采购单的副本
2、        已经批准的产前板
3、        最后确认的尺寸表
4、        最后确认的包装指示
5、        批准的印花、绣花的位置(及形状)
6、        包装单


finally:garments approved to delivery    最后:批准出货

Actually,there are also many detail should be taken care of during this process ,
事实上,还有很多细节在生产中是要注意的!

Let me add several tips briefly:

1 >>When customer places orders to you:
      we should discuss below points:
          A> odd carton
          B> quantity tolerance; +5% is normal.
          C> delivery date - we have to discuss this topic according to our factory's equipment -

                machines and workers and material ariving date.
          D> measurement tolerance; 1~2.5cm is acceptable in different parts.

2 >>Before producing
          A> We should have a meeting with some key persons who be responsible for the process of producing

               before producing the bulk, to explain and remind some key points,
               so that they will pay more attention when producing.

3 >>During the process production
          A> If there is any problem on material (fabric and accessories), we should contact with suppliers first,
               whether we can solve the problem by ourself, if we can solve this problem, no need to let customer to know it,

               or otherwise......

For example: customer asks us to pack the goods 10 pieces per carton, but finally, there are only 8 pieces left. so the last carton is called odd carton.

To be frank, I have left garment field nearly 2 years, i have forgot many things and skills.
But I am planning come back to do jeans soon, and I will do my best to do such thing that sharing all good skills with friends.
